First real snowstorm of the year, ice on the lines, and your phone won't stop ringing. That's usually the moment you find out whether your setup can handle a bad day, not the moment to start figuring it out.

A few things are worth a second look before winter gets here. If your main line goes down in a storm, is there a real way for calls to still reach you? Does anyone on your team know what to do if the power cuts out mid-shift? Small questions now, much easier to answer in August than during a whiteout in January.

Here's where to start.

Reach us the fast way. During a storm, email beats trying to call in. A message to manager@advantagetelemessaging.com goes to our entire management team at once, so you're not waiting on one person to see it and respond. When things are moving fast, that alone can save you hours.

Tell us ahead of time if you need something different. Maybe a storm means you want calls routed differently, a different message taken, a different person contacted first. We can set all of that up, but it has to happen before the storm hits, not while it's happening. A quick note to us in advance means it's ready to go the moment you need it.

Know where the line is. Call forwarding on your phone line is managed by your phone company, not us. We can't turn it on, off, or troubleshoot it from our end. If it's not working right, your telephone provider or equipment vendor is who to call. It's a small thing to know ahead of time, and it saves confusion later.

Ask your phone company about automatic failover. There's a feature, usually called Direct Trunk Overflow or No Answer Call Redirect depending on the carrier, that can automatically send your calls to us if your office loses power or internet. It won't cost much to ask. If your line supports it, your calls never just disappear, they come straight to us instead.

Skip the hold time. If your team currently calls in to check messages, that's one more step during a storm when every minute matters. Our text dispatch and our HIPAA/HITECH-compliant Secure Messaging app send messages directly, no calling in required. It's a small switch that makes a real difference when call volume spikes.

Have a plan B. We run a solid setup on our end, but no system is completely immune to a bad storm. Worth having a backup plan of your own too, just in case something outside anyone's control gets in the way.
